Politeknik Negeri Ketapang (Ketapang State Polytechnic)'s Integrated Management Information System (SimaduPolitap) has once again expanded its services by introducing the Work Monitoring and Attendance Information System (SiMona). The virtual launch of SiMona took place on 21 April 2020, led by Politap Director Endang Kusmana and attended by all officials across Politap.

In his address, Endang stated that SiMona is an innovation developed by Politap lecturers to provide digital services for monitoring work and attendance. Endang added that, in line with the concept of Working, Being Productive, and Performing from Home, the launch of SiMona is a commendable breakthrough in monitoring employee performance and attendance. According to him, SiMona is not only well-suited for the Work From Home era but can also be applied during normal times, potentially even replacing fingerprint scanners. More importantly, the Director emphasized that current work patterns must shift toward prioritizing performance and reducing routine tasks, ensuring measurable outputs to improve work unit performance.

Vice Director for Student Affairs and Information Systems Epriyandi explained that the SiMona workflow is very straightforward to use, with the mechanism arranged as follows:

  1. The Director issues an assignment letter to all employees for a designated period (including activity details, activity outputs, and the monitoring mechanism)
  2. Employees access the service at simadu.politap.ac.id using their respective accounts
  3. Employees click on the SiMona feature to access their personal logbook, displaying their respective employee identities,
  4. SiMona is accessible starting at 06:00, with access open for two sessions
  5. Monday to Thursday: Session 1 (07:30 – 12:00), Session 2 (13:00 – 16:00)
  6. Friday: Session 1 (07:30 – 11:30), Session 2 (13:00 – 16:30)
  7. No later than 07:30 WIB, employees are required to fill in the Activity Plan according to the assignment letter and tasks assigned by their direct supervisor; once completed, click Check In, and the screen will show the activity plan and check-in time,
  8. At the earliest at 12:00 (for Monday to Thursday) or 11:30 (for Friday), employees submit their Activity Realization based on the completed plan; if an activity could not be carried out, provide a brief explanation,
  9. Similar to Session 1, Session 2 follows the steps outlined in points 5 and 6,
  10. Heads of work units or appointed officers monitoring the work system must consistently oversee subordinate staff, ensure work outputs are verifiable, and verify work outcome reports according to the assignment letters
  11. The Vice Director for General Affairs and Finance or an appointed officer validates the reports and work outputs for further follow-up,
  12. Appointed officers report the employee attendance recapitulation as the basis for distributing meal allowances, while activity outputs serve as the foundation for evaluating employee performance targets.
